Payments & payouts

Know who pays, where the money goes, and what to check next.

For clients

Before you pay

Open the salon’s payment link or scan its QR code on your own phone. Check the salon name, amount and currency before confirming. Ask the salon whether this is a deposit, a partial payment or the full balance, and review its cancellation and refund policy.

Choose one of the payment methods offered in checkout. Apple Pay uses the Wallet on the device where you confirm payment. The appointment can be for someone else; the cardholder who approves checkout is the person paying.

After you pay

Wait for payment confirmation and keep the receipt if provided. Opening the link, returning to Bloomly or closing the payment window does not by itself prove payment succeeded. If your bank shows a charge but the salon cannot see it yet, ask the salon to check the original payment before paying again.

A deposit or partial payment can leave a balance due at the salon. The salon’s bank payout timing is separate from your payment confirmation; you do not need to pay again because the salon is waiting for a payout.

Cancellations and refunds

Contact the salon about changes, cancellations, duplicate charges or refunds. Canceling a booking does not automatically return a card payment. If the salon issues a refund, ask for its status and allow time for your bank to display it.

Bloomly provides the booking software; your salon provides the service. This guide explains the payment flow and does not replace the salon’s policy, Stripe’s applicable terms or your legal rights.

For salon owners

1. Connect your salon and payout account

In Payments → Activate payments, complete the secure Stripe form with the salon’s business and owner details, then add the bank account for payouts. Each salon connects its own Stripe account. Only the salon owner can manage this setup.

Submitting the form does not mean approval. Check Payments active and any outstanding Stripe requirements before collecting cards. Use Payment profile to review your business information and payout destination; use your full Stripe Dashboard for settings not offered in Bloomly.

2. Let the client pay on their own phone

Select the appointment and check the requested amount. Create a client payment link, then let the client scan the QR code or send them the link. They check the salon, amount and currency in checkout and choose an available payment method.

For a walk-in or purchase without a booking, open Payments → Accept payment → Without appointment. Enter the full amount and description, optionally choose a client, then record cash actually received or create a client payment link. It appears in payment history without creating a calendar appointment or reducing another appointment’s balance.

Apple Pay uses the Wallet on the phone where checkout is open. Opening it on your phone can charge your own card. Bloomly does not support accepting a contactless card or another phone with Tap to Pay in this version.

Creating a link or closing checkout is not payment confirmation. Refresh payment status before collecting again. Record cash only after receiving it. A smaller payment leaves the remainder due; a payment link does not change the appointment total.

If a request loses its connection, use Retry this same payment. After the request is confirmed in history, you can start another payment for a different sale while the first client pays. Reopen the original payment from history to check its status or share its existing link.

3. Understand where the money is

Client payment → your salon’s Stripe balance → payout to your linked bank account. A confirmed card payment counts toward the client’s bill; a partial payment can leave a balance due. It does not mean the bank has received a payout.

Pending Stripe funds are still settling. Available funds can be paid out subject to account restrictions. In Balance & payouts, check the actual balance, payout status and estimated arrival. Bloomly reports and imported payment history are not a bank statement.

4. Check fees and the amount you keep

Bloomly’s software subscription is separate from Stripe processing and any payout fees. Check the rates for your connected account and the actual transaction fee in Stripe payment details. Country, payment method, currency conversion and your agreement can change the cost.

For illustration only: at 2.9% + $0.30, a $1 payment has a $0.33 rounded fee, while a $90 payment has a $2.91 fee. The fixed part has a larger effect on small payments. This example is not a quote for your salon.

A payment total is not the amount that will reach your bank. Fees, refunds, disputes, reserves and other balance adjustments can change the amount available for payout. Use the Stripe breakdown instead of estimating from Bloomly revenue totals.

5. Standard and instant payouts

In your salon’s Stripe Dashboard, review the payout schedule and linked bank account. Settlement time and bank arrival are separate. The first payout, verification checks, weekends, bank holidays or account restrictions can delay funds. Use the estimated arrival for the actual payout.

Instant Payouts are optional and available only when Stripe confirms eligibility, a supported destination and an eligible balance. If offered in your Stripe Dashboard, review the fee, amount and destination before confirming. Arrival is typically within 30 minutes, but it is not guaranteed. Buying a higher Bloomly plan does not unlock faster Stripe payouts.

6. Know which bank receives payouts

The client’s payment card and the salon’s payout account are different. A card shown on a payment receipt belongs to the payer; it is not proof of your payout destination. Wallet transactions can show a tokenized card number.

Review the destination and masked account details in Payment profile or your salon’s Stripe Dashboard before changing payout settings. Enter complete bank details only in Stripe’s secure form. Do not send bank passwords or full card numbers in feedback or messages.

7. Refunds, failed payments and missing payouts

If a client’s bank shows a charge but Bloomly is pending, refresh and check the original transaction in Payments & refunds or Stripe before asking them to pay again. A bank authorization can be temporary; do not assume it is a second completed payment.

Handle a refund from the original Stripe transaction under the salon’s policy. A refund request can remain pending or fail; canceling an appointment alone does not refund a card. Stripe generally sends a successful refund back to the original payment method, and the client’s bank controls when it appears. Original processing fees are generally not returned to the salon on a refund; check your Stripe agreement.

For a missing payout, check its status, destination and outstanding Stripe requirements, then contact Stripe through your salon’s Dashboard. For an incorrect Bloomly display, send Bloomly the payment reference and error text, without full financial details.

8. Payment conditions and other methods

Explain the service price, deposit, remaining balance and cancellation/refund policy to the client before payment. The salon provides the service and handles service or refund questions. Stripe’s account agreement governs processing and payouts; Bloomly’s terms govern the software.

Cash and external methods such as Zelle, Venmo or bank transfer are separate from Stripe. Configuring or recording one in Bloomly does not move money or verify an external transfer. Check receipt with that provider before recording payment.
